- Shade canopies are essential for daytime events, especially May through September.
- Windy spring afternoons are common — canopy weights and sidewalls help.
- Cool-season evening events (October–April) almost always need patio heaters.
- Have a backup plan: a 20x40 canopy can double as sheltered dining if wind picks up.
How to Size Your Canopy Tent
Canopies give you shade, rain cover and a defined event space. Use this quick reference to match tent size to guest count:
Small ceremonies, welcome shade, cake/dessert station
Mid-size receptions, buffet + seating combo
Full receptions, dining, dance floor area
Pro tip: If you want a dance floor, bar area, buffet line and seated dining under one tent, go one size up. It is better to have extra airflow than a cramped layout.
Tables, Chairs & Guest Math
Round Tables
One 60" round table seats 8 guests comfortably. For 80 guests, plan 10 round tables. Round tables encourage conversation and work well under canopies.
6 Ft Long Tables
Great for buffet lines, head tables, vendor displays and family-style seating. Each 6 ft table fits 6–8 chairs along the front.
Resin Chairs
Clean, durable and weather-friendly. Order one chair per seated guest plus 5–10 extras for late RSVPs and cocktail areas.
Cocktail Tables
Plan 1–2 high-top tables per 25 guests for mingling spaces and cocktail hours. They create natural flow between ceremony and reception.
How Many Patio Heaters Do You Need?
Commercial propane patio heaters warm a 10–12 ft radius. For an open-air seated dinner, place one heater every 3–4 round tables or every 25–30 guests. For cocktail-style standing events, you can space them slightly farther apart since guests move around.
Quick heater count
50 guests seated under canopy → 2–3 heaters. 100 guests → 4–6 heaters. More heaters are better than too few — a cold guest leaves early.
